CAREMASTER STAFF STRUCTURE

Staff Profile Setup

Each staff member requires the following in CareMaster:

  • Personal Details – Full name, DOB, contact information, emergency contact
  • Employment Details – Start date, employment type, classification, pay rate
  • Compliance Documents – Upload copies of all certifications and clearances
  • Bank Details – For payroll processing
  • Tax Information – TFN declaration details
  • Superannuation – Fund details and member number
  • Availability – Weekly availability for rostering
  • Skills & Qualifications – Training completed, specializations

Staff Document Expiry Tracking

Set up reminders for document renewals:

  • NDIS Worker Screening Check – Every 5 years
  • Working With Children Check – Every 5 years
  • CPR Certificate – Annual renewal
  • First Aid Certificate – Every 3 years
  • Driver’s Licence – Check expiry
  • Vehicle Insurance – Annual
  • Professional Registrations – As per registration body

PAY & ENTITLEMENTS

SCHADS Award Classifications

Social, Community, Home Care and Disability Services Industry Award 2010 (MA000100)

  • Level 1 – Entry level, routine tasks under supervision
  • Level 2 – Experienced support worker, limited autonomy
  • Level 3 – Specialist support, higher responsibility
  • Level 4 – Senior support worker, supervision of others

Key Entitlements

  • Minimum Engagement: 2 hours for casuals
  • Broken Shifts: Maximum 2 broken shifts per day, allowance applies
  • Sleepover: Flat rate plus penalty rates if woken
  • Travel Time: Paid between participants (not to/from work)
  • Kilometre Allowance: Per ATO rate for personal vehicle use
  • Penalty Rates: Saturday 150%, Sunday 200%, Public Holidays 250%
  • Overtime: First 2 hours 150%, thereafter 200%

PAYROLL PROCESS

Pay Cycle

  • Pay frequency: [Weekly/Fortnightly]
  • Pay day: [Day of week]
  • Timesheet submission deadline: [Day/Time]
  • Timesheet approval deadline: [Day/Time]

Timesheet Requirements

  • Participant name
  • Date of service
  • Start and finish times
  • Break times taken
  • Travel time between participants
  • Kilometres travelled
  • Tasks/activities completed
  • Any incidents or concerns

LEAVE MANAGEMENT

Leave Types

  • Annual Leave: 4 weeks per year (pro-rata for part-time)
  • Personal/Carer’s Leave: 10 days per year (pro-rata)
  • Compassionate Leave: 2 days per occasion
  • Family & Domestic Violence Leave: 10 days per year (unpaid)
  • Long Service Leave: As per Victorian legislation
  • Parental Leave: As per National Employment Standards

Leave Request Process

  1. Staff submits leave request via CareMaster/approved system
  2. Minimum notice: 4 weeks for annual leave, ASAP for personal leave
  3. Coordinator reviews and approves/declines based on operational needs
  4. Staff notified of outcome
  5. Roster adjusted accordingly

PERFORMANCE MANAGEMENT

Probationary Reviews

  • Initial check-in: Week 2
  • Mid-probation review: Week 6
  • End of probation review: Week 12

Ongoing Performance

  • Informal feedback: Ongoing
  • Formal performance review: Annually
  • Training needs assessment: With annual review
  • Goal setting: With annual review

Performance Concerns Process

  1. Informal discussion and coaching
  2. Verbal warning (documented)
  3. First written warning
  4. Final written warning
  5. Termination (if no improvement)

Note: Serious misconduct may result in immediate termination
